Scope Overview:
The Receptionist will be responsible for managing the front desk, greeting visitors, answering phone calls, and performing a variety of administrative tasks. The ideal candidate will have excellent communication skills, a positive attitude, and the ability to multitask in a dynamic environment.
Key responsibilities:
1. Front desk management:
Greet and welcome visitors in a warm and professional manner.
Manage the reception area, ensuring it is tidy and presentable.
Maintain visitor logs and issue visitor badges as required.
2. Phone and email management:
Answer, screen, and forward incoming phone calls.
Respond to general inquiries via phone and email.
Take and relay accurate messages to relevant personnel.
3. Customer service:
Provide information about the company’s products and services to visitors and callers.
Handle customer inquiries and direct them to the appropriate department or personnel.
Assist customers with basic questions and issues.
4. Administrative support:
Receive, sort, and distribute daily mail and deliveries.
Assist with scheduling appointments and meetings.
Maintain office supplies inventory and place orders as needed.
Assist with data entry, filing, and other clerical duties as required.
5. Coordination and communication:
Coordinate with other departments to ensure smooth operations.
Communicate effectively with team members to support office activities.
Assist in organizing company events and meetings.
Qualifications:
1. Education:
High school diploma or equivalent; additional certification in office management is a plus.
2. Experience:
Previous experience as a receptionist, front office representative, or similar role preferred.
Experience in the customer service or hospitality industry is an advantage.
3. Skills:
Proficiency in Google Suite.
Excellent verbal and written communication skills.
Strong organizational and multitasking abilities.
High attention to detail and problem-solving skills.
Ability to maintain confidentiality and handle sensitive information.
4. Personal attributes:
Friendly and professional demeanor.
Positive attitude and strong interpersonal skills.
Punctual and reliable.
Ability to work independently and as part of a team.
